Responsibilities

The HR Operations (Add‑On Services) Specialist – Poland is responsible for delivering locally mandated HR and payroll‑related administrative services. The role ensures full compliance with Polish labor law, social security, tax, and statutory requirements through accurate, timely, and high‑quality execution of country‑specific processes.
This role plays a critical part in supporting Kyndryl’s in Poland, and acting as a key interface between HR Services, Payroll, statutory authorities, and internal stakeholders.

What you will do
  • Employee Lifecycle Documentation: Assist with preparing, issuing, and updating core employment documentation, including contracts, amendments (salary, FTE, remote work), and termination forms in line with Polish labor law.
  • Certificates & Tax Filings: Support the creation of employment and income certificates, statutory statements, and annual tax documentation (such as PIT-11).
  • Statutory Platform Operations: Process routine employee registrations, deregistrations, and data updates using statutory portals including Płatnik and the ZUS ePUE platform.
  • Garnishments & Reporting: Log and administer basic wage garnishments, record bailiff correspondence, and assist in compiling data for local regulatory reporting (GUS, PFRON).
  • Medical Checkups & Personnel Files: Track and monitor periodic occupational medical examinations, prepare necessary referral forms, and maintain compliant hard-copy (Akta Osobowe) and digital personnel files.
  • Employee Inquiry Support: Serve as a reliable contact point to resolve routine employee queries regarding HR administrative processes and document requests.
  • Audit Prep & Data Precision: Maintain strict accuracy across HR/payroll databases and support senior team members by gathering required files and reports for internal and external audits.
  • SOP Maintenance & Process Support: Help keep Standard Operating Procedures (SOPs) up to date while contributing ideas to streamline administrative workflows and automation initiatives.

Requirements

  • Degree in Human Resources, Labor Law, Business Administration, or a related field (no prior formal HR experience required; internships are a plus)
  • Foundational theoretical knowledge of Polish Labor Law and standard HR administrative concepts
  • Basic awareness of Polish social security (ZUS) and tax principles, with a strong desire to build practical compliance skills
  • Strong eagerness and willingness to learn statutory portals (Płatnik, ZUS ePUE) and enterprise HR software (e.g., Workday, ADP)
  • Hands-on, organized approach to managing physical document administration on-site (printing, scanning, archiving, and personnel files)
  • High precision, diligence, and strong attention to detail when managing routine, compliance-sensitive tasks
  • Fluent or native Polish (mandatory, written and spoken)
  • Good working knowledge of English (written and spoken)
